What you get
Every mail to your support address appears in the Alpheris inbox — next to chat, WhatsApp and Instagram. The AI writes a draft reply from your knowledge base. You read it, change it if needed, and send.
Email is the only channel with real subject lines. They carry the conversation list, so you can see at a glance what each one is about.
What you need first
- The credentials for your mailbox. With Microsoft 365 you sign in with the provider itself — we never store a password. For Gmail and Google Workspace you need an app password.
- With other providers: the IMAP and SMTP details from your host.
No time window
Unlike WhatsApp there is no deadline for replying. A mail from three weeks ago can be answered today. What matters here is something else: how much is waiting, and how much of it the AI has already prepared.
Several mailboxes
You can connect several addresses — support, sales, returns — and give each its own rules. Sales answers differently from support, and not every employee should see every mailbox.
Draft or direct send
For email the draft is the cautious default, and for a reason: written words weigh more than a chat line, and a mail cannot be recalled. Once you see after a few weeks that drafts go out unchanged anyway, you can switch a mailbox to direct sending.
Signature and quoting
The signature sits under every reply, whether it came from the AI or a person. And the original mail is quoted below the answer, as in any mail client — your customer sees the context even when reading three weeks later.
Design
Under Mail → Design you set how your emails look: font, colours, logo (position and size), a header image, header and footer text. A live preview runs alongside, so you never have to send one to see it.
The design applies to both areas — what you write from the inbox and what the AI agent writes. Only the signature stays separate: a person's reply should not end with the same line as the AI's.
Link preview
When it is on, Alpheris builds a card from the first external link in a reply — image, title and domain, the way Apple Mail does.
Learning from approved answers
Alpheris only learns from replies a person has sent — never from its own drafts. That way no mistake reinforces itself. Content is processed pseudonymously, and you can switch learning off at any time.
When a person takes over
- When the AI does not know. Then it sends nothing at all rather than something half-right.
- For complaints and legal matters. Withdrawal, warranty, letters from lawyers.
When something does not arrive
- Fetching stalls. Microsoft throttles frequent access per mailbox, often without a clear error. Alpheris therefore spaces out its requests and waits when throttled.
- Replies land in the customer's spam folder. Check SPF, DKIM and DMARC for your domain. That is a setting with your provider, not with us.
